Job purpose:
Handle all administrative and logistical tasks including dealing with members, attending to their inquiries, handling the scheduling process, taking care of the sports facilities and all involved logistics and dealing with the Sports relevant federation.
What do we expect from you:
Key responsibilities:
Receive members, attend to their inquiries and support them with the enrollment process and or any inquiries they may have
Timely inform and update the athletes and parents with regards to schedules, events, requirements…etc through the different communication tools
Organize the training schedule per age group and level in coordination with the mentors
Coordinate courts schedules with the Mentor and Academy Head and ensure courts/facility readiness for the training
Handle the logistics for any sport related event under the guidance of the Sports Academy Head
Coordinate with mentors with regards to their one-on-one/private coaching sessions schedules as applicable
Maintain 100% accurate data and complete documentation of the athletes such as: Personal data, Health status records, Assessment records…etc
Secure accurate and safe filing system electronically and /or in hard copy that is always updated and easily accessible
Consolidate the leaves plans of the mentors
Support the Helpers with entering their vacation requests and with entering their objectives & performance evaluation on the HR system
Coordinate with the maintenance department with regards to the preventive maintenance program for the related sports facility(ies)
Issue maintenance requests / ticket for ad-hoc fixes as needed
Supervise the sports Helpers to ensure all needed tools, equipment, balls…etc are available and ready
Supervise the cleaning of the related sports facility(ies) and ensure compliance with the set cleaning and hygiene standards and escalate to the Housekeeping department as applicable
Coordinate with the Procurement for availing all tools, staff uniform, consumables and other stuff
Issue purchase requests and follow up with the Procurement team for receiving the requested items
Coordinate with KODE shop for the Athletes’ Sports Kits
Manage the sports sub store and ensure maintaining the relevant tools, kits…etc are properly stored and handled
Deal with the relevant sports federations with regards to registration of athletes, tournaments, relevant logistics and all relevant procedures in alignment with the updated regulations and procedures
Perform any other duties as directed by the Manager in accordance with the club’s operational policies.
Might act as a “Cash In Point“ for recharging the members’ eWallet according to the procedures set by the Accounting department and holds a cash custody
Health and Safety:
Knowledgeable of and adhere to the HSE instructions and regulations
Coordinate with the HSE department with regards to the team’s participation in the HSE training and awareness sessions
What do you need to perform your role:
To perform your job successfully, you need to have the following minimum requirements:
Education and experience:
Bachelor degree in any relevant discipline
2-3 years of experience in sports administrative
Skills and knowledge:
Up to date with the federations regulations
High Customer orientation
Speaking, Reading, and writing knowledge of the English Language.
Computer skills mainly Excel and word
Highly organized
Very good follow up and coordination skills

Detail oriented
